Rota Co-ordinator

Southampton/office based/ Monday to Friday 9am to 5pm

We are looking for a highly organised and proactive Rota Coordinator to support within our Supported Accommodation and Children's Homes services.

This role involves managing complex staff rotas, ensuring adequate coverage across multiple locations, and providing efficient administrative support to the team.

You will be responsible for managing and maintaining staff rotas, coordinating shift cover, and ensuring compliance with working time regulations. Additionally, you will oversee key administrative tasks, including data imputing, record-keeping, managing staff availability, and liaising with service managers to ensure smooth operations.

Main duties of the role:

  • Build, manage and maintain rotas to ensure full coverage of all shifts across a 24/7 service.
  • Work closely with the Team Managers to address staffing needs and manage shift changes.
  • Ensure compliance with working time regulations and internal policies.
  • Communicate shift allocations and changes clearly to staff.
  • Monitor leave requests, availability.
  • Identify opportunities for improving rosters and rota efficiency.
  • To work closely with Social Care staffing agencies and forward any staffing needs when necessary
  • Responsible for providing accurate details and reports to HR Manager each month by the payroll cut off:
  • To be the superusers for CHARMS rota, maintaining working relationship with CHARMS and ensuring the rota system meets Sportfit's needs.
  • To maintain all rotas changes on CHARMS & live rota in a timely and accurate manner

We're looking for individuals who have:

  • Previous experience with rota management and co-ordination
  • A good working knowledge of rota platform, such as CHARMS (although training can be provided)
  • Ability to work collaboratively as part of a team and independently when necessary, ensuring priorities and deadlines are met.
  • Attention to detail is a must, along with excellent interpersonal and communication skills, ability to work under pressure and work to strict timescales.
  • Excellent computer literacy skills - able to confidently use Microsoft Excel, and Outlook
